Permissions

You must have Organization Administrator permissions to invite or re-invite clients to the client portal. 

Before You Begin

This article addresses the following scenarios. 

  1. Client already has an account and needs access to the portal. 
  2. Client was already invited but did not create their account and needs the email resent. 
  3. The client has a new email address to be used for the portal. 
  4. Resend Intake Forms

Scenario One

Step One: Does the Client Already have an Active Client Portal Account?

There are different steps if they have an active account or not.

You'll know if a client has an active client portal account in two ways. 

  1. It says so on their details page: 

2. They are highlighted in green under Manage Clients section of the Client Portal.


If the client DOES have an active client portal account you will want to send them the LOGIN link located under Client Shortcuts. ****Do NOT send them the signup link or the new appointment link. ***

  1. Click on Organization in the primary navigation bar.
  2. In the sidebar navigation click Client Portal.
  3. Click on the Settings tab if you're not taken there.
  4. Copy the Login Link under Client Shortcuts. 
  5. Share that with your client via email outside of TheraNest. 

Scenario Two

Here is how to tell if the client is NOT active. 

  1. It will say Inactive on their details page.


2. They will not be highlighted in green but will appear in white. If the client does *NOT* have an active client portal account.


If the client does *NOT* have an active account you will want to do the following:

  1. Click on Organization in the primary navigation bar.
  2. In the sidebar navigation click Client Portal.
  3. Click on the Settings tab if you're not taken there.
  4. Scroll down to find Manage Clients section. Use the search bar to search for your client.  
  5. Mark the box to the left of the client's name and click the blue Invite to Client Portal button. 
  6. Customize your invite message and choose which intake forms to send. 
  7. Click Preview Invitation.
  8. Click Invite to The Client Portal. 

Scenario Three

Client Has a New Email Address

If the client has a new email address all you have to do is update the email address for the client.

  1. Navigate to the desired client.
  2. Change the email address in the email field to the client's new email address.
  3. Click Save. 
  4. The client can now login to the portal with their new email address.

Client Needs to Receive Intake Forms Again
