TheraNest allows for you and your staff to be instantly notified on how your clients respond to their text appointment reminders. It will be useful to you and the assigned staff to know whether the appointment has been confirmed, cancelled, or if they responded with any other reply in the case of distress.

TheraNest Organization Admins can enable this feature at the organizational level. It must be turned on at the organization level before staff can enable it themselves. 

Response notifications will be an additional $.02 per text notification. 

Organization Text Appointment Reminders must be enabled. To learn how to enable them click here. 

To Enable Text Response Notifications for the Organization

  1. Go to Organization in primary navigation bar
  2. Click on Appointment Reminders > Settings
  3. Find "Enable reminder notifications via text message to staff (2¢/message)" on the setting page and click Yes.

The box for "Display client initials in reminder notifications via text message" will be defaulted to on. Cancel and confirm responses will include the date and time of the appointment which will help identify who the client was without initials.  Non-standard responses without client initials will NOT have a client indicator. 

4. Click Save.


After this is enabled the organization admin and assigned staff can go to their personal settings to enable the text response notifications themselves. The same steps apply regardless of the role.

How Staff can Enable Text Response Notifications

  1. Click on your name in the top right corner of TheraNest
  2. Choose My Profile 
  3. Find the Mobile Phone number field and enter in the mobile number you wish to receive text response notifications to. 
  4. Click Save - The page will refresh. 
  5. Once mobile number has been saved click on the Preferences tab.
  6.  Find the section, Client Communication Notifications, and mark the box for each type of notification you wish to receive.  A non-standard reply is anything except a 1 or a 2 response from a client either confirming or declining an appointment. 
  7. Click Save Preferences

If you are an organization admin and you marked the box to receive text notifications of non-standard replies this will be for your clients and clients NOT assigned to you. You will not receive the standard reply notifications for appointments that are not yours, but again, you will receive a text response notification for ALL non-standard replies regardless of who the staff member is on the appointment.

AND 

Org Admin alerts = ON:

  • IF the first response to a text appointment reminder is standard ("1" or "2"), then assigned staff receives an SMS alert of appointment confirmation/cancellation; the message is added to the reminders log.

Example:

  • If the client sends another message after this with "1" or "2", no users receive SMS alerts; the message is added to the reminders log. 

Example:

  • If the client sends another message after this with a non-standard message, the org admin will only receive an SMS alert that the client has sent a non-standard reply; the message is added to the reminders log.

Example:

  • IF the first response after the appointment reminder is non-standard (free text message), THEN assigned staff and org admin both receive SMS alerts that the client sent a non-standard message; the message is added to the reminders log.

org admin alerts = OFF:

  • IF the first response after the text appointment reminder is standard ("1" or "2"), then assigned staff receives an SMS alert of appointment confirmation/cancellation; the message is added to the reminders log.

Example:

  • If the client sends another message after this with "1" or "2", no users receive an SMS alert; the message is added to the reminders log.

Example:

  • If the client sends another message after this with a non-standard message, no users receive SMS alerts; the message is added to the reminders log.
