Sometimes a service type needs to be corrected on an appointment but invoices for that service have already been created. You cannot make any changes to an appointment tied to an invoice. The invoice must be removed and recreated with the new service type. This article will walk you through that process.

Take note of the client and the date of service. Click Cancel on the appointment details window and then double click on the Client's Name in the appointment block located in the calendar. Double clicking the client's name in the appointment block on the calendar will take you to that client's Details page where you can quickly access their Ledger.

Once on the ledger find the desired invoice. You can look in the "Service Date" section of the either the Open Invoices or Fully Paid invoices section.

To Remove an Open Invoice

  1. On the client's ledger in the Open Invoices section find your desired invoice.
  2. Choose Select an Action next to the desired invoice > choose Delete

Note: Any applied payments on the open invoice will be moved to the Unapplied Payments/Credit section of the ledger. 

To Remove a Fully Paid Invoice

  1. On the client's ledger in the Fully Paid Invoices section find your desired invoice.
  2. Choose Select an Action next to the desired invoice > choose Delete

Deleting a fully paid invoice does NOT delete the payments on the invoice. It moves the payments to the Unapplied Payments section on the clients ledger. Write-offs will be removed. If you're sure you want to delete the invoice choose Delete Invoice.

Once the payments are removed and the invoice is deleted you can now make changes to your appointment, recreate the invoice, and apply any unapplied payments.
